So you shove the receipt in the truck door pocket and tell yourself you will enter it later. Later is how expenses end up missing, or entered weeks after the fact with the vendor field blank because you no longer remember. The cost was real. The record never quite happens.
You tell your assistant about a cost in plain language: what you spent, where, on which project. It reads the project's categories, your vendor list and your financial accounts, then matches your description to the right ones so the expense lands fully attributed rather than in a generic bucket.
It shows you the entry it is about to create, with the vendor, category and account it picked, and waits for you to confirm before saving. Once you approve, it records the expense against the project.
Why this matters: most fast expense entry creates the exact incomplete records our audit prompts later have to hunt down. This one attributes the cost properly at the moment you log it, so it never becomes a gap in the first place.

Your assistant can only file the expense into a category that exists on the project. If you want trade level detail rather than a generic Repair Costs bucket, load a Repair Estimator template on the project before you start logging.
The more you say, the better the match. Project, vendor, amount and what it was for is plenty. If you leave something out, the prompt asks rather than guessing, so nothing lands half filled in.
